Privacy Policy

Crewzi("Crewzi," "we," "us") provides a workforce-scheduling and dispatch platform that lets any business with field crews or mobile staff schedule work and notify their people by text message. This policy explains what information we handle, how, and the rights you have under United States privacy laws.
The two kinds of people we handle data for
Office users(owners, admins, managers) create Crewzi accounts (email + password) and manage their company's crew directory, schedule, and billing. For this account information, Crewzi is the business/controller.
Crew members do not create accounts to receive texts. Their information — name, mobile phone number, preferred language, and optionally trade, work location, email, and home address — is entered by their employer, which directs how it is used. For that information, the employer is the data controller and Crewzi is a service provider (processor) acting on the employer's documented instructions.
Information we collect
- Account data (office users): name, email, password (stored as a salted hash by our authentication provider — we never see plaintext passwords), company name and company address.
- Crew directory data (entered by the employer): name, mobile number, trade/role, work location, preferred language, email, home address, and employer-recorded consent status for receiving texts.
- Location coordinates:when an employer enters a job address or a crew home address, we convert it to map coordinates (geocoding) so the employer can plan travel and schedules. Coordinates are used only inside that employer's account and are never used for tracking — Crewzi does not collect device GPS location.
- Job and schedule data: job titles, addresses, dates and times, notes, responses (confirmed / declined / questions), and attachments uploaded by office users.
- Messages: the full content and delivery status of texts sent and received through Crewzi, kept as a permanent record for dispatch history and texting-consent compliance, including which office user sent each message.
- Billing data: subscription plan, usage counts, and payment status. Payment card details go directly to Stripe and are never stored by Crewzi.
- Technical data: log and security data incidental to operating the service (timestamps, IP addresses in service logs, error reports).
We do notsell personal information, do not share it for cross-context behavioral advertising, do not use it for targeted advertising or profiling with legal effects, and do not use personal information to train AI models. Crew phone numbers are used for nothing except the employer's own workforce messages. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes; text messaging originator opt-in data and consent are never shared with any third party.
Text messages are sent only to workers who opted in (see SMS Program Terms and the written consent form). Message frequency varies with the employer's job schedule; message and data rates may apply. Reply STOP to any message to opt out or HELP for assistance.
How we use information
- Deliver job-assignment texts and record replies for the employer.
- Honor opt-outs: texting STOP immediately stops messages; START opts back in; HELP returns help. Opt-out state is stored permanently so it survives directory changes.
- Bill subscriptions and meter text usage.
- Detect and stop abuse of the texting system (rate limits, spam-signal monitoring).
- Operate, secure, and improve the service; comply with law.
Service providers (subprocessors)
We use a small set of providers to run Crewzi, each bound to use data only to provide their service to us:
- Supabase — database, authentication, file storage (US region)
- Twilio — text-message delivery
- Stripe — payments (card details go directly to Stripe)
- Resend — transactional email (confirmations, notifications)
- Vercel — application hosting
- Sentry — error monitoring (technical error reports)
- Geocoding providers (currently Photon/OpenStreetMap) — job and home addresses are submitted to convert them to map coordinates; no names or phone numbers are included
- Anthropic — AI-assisted Spanish drafting of the short dispatch note an office writes for a job. Only that note text is submitted (never crew names, phone numbers, or message history), the draft is always shown to the office for review before anything sends, and per our API agreement the text is not used to train AI models
Beyond these, we disclose personal information only when required by law (subpoena, court order), to protect rights and safety, or — if Crewzi is ever acquired or merged — to a successor bound by this policy, with notice to account holders.
Data isolation and security
Every company's data is isolated with database-enforced row-level security — one company can never read another company's people, jobs, or messages. Access to crew phone numbers is restricted: even coworkers on the same job see names only, not numbers. Home addresses are held in a separately protected table visible only to office users the company owner designates. Data is encrypted in transit and at rest by our infrastructure providers. If a security incident affects personal information we process, we will notify the affected employers without undue delay so they can meet their own notification obligations under applicable state breach-notification laws, and we will cooperate as required.
Where data is processed
Crewzi is operated from the United States and personal information is stored and processed in the United States by the providers listed above. The service is intended for use by businesses in the United States.
Retention
Directory and job data are retained while the employer's account is active and deleted on verified request or account closure, except records we must keep: texting consent and opt-out history and message logs are retained as required for telecommunications-compliance purposes. An account owner can permanently delete their entire company — including those compliance records — from Settings.
Your privacy rights (all U.S. states)
A growing number of states (including California, Virginia, Colorado, Connecticut, Utah, Texas, Oregon, and others) grant privacy rights to their residents. Regardless of whether a particular law technically applies to Crewzi, we extend these rights to all U.S. residents:
- Know / access — request a copy of the personal information we hold about you.
- Correct — request correction of inaccurate personal information.
- Delete — request deletion, subject to the compliance-record retention described above.
- Portability — receive your information in a usable format.
- Opt out of sale, sharing, and targeted advertising — not applicable in practice: we do not sell or share personal information or use it for targeted advertising.
- Non-discrimination — we will never treat you differently for exercising these rights.
How to exercise them: email privacy@crewziapp.com. We will verify your identity (for example, by confirming control of the email or phone number on file) and respond within 45 days. You may use an authorized agent; we will verify the agent's authority.
Crew members: because your employer controls your directory information, we forward access/correction/deletion requests about it to your employer and assist them in responding, as state laws direct for processors. You can always text STOP to end messages instantly, and you can remove your own portal sign-in from the portal Settings page.
Appeals: if we decline a request, we will explain why, and you may appeal by replying to our decision within 60 days. We will respond to appeals within 45 days. If you are unsatisfied, you may contact your state Attorney General.
Opt-out preference signals: because we do not sell or share personal information, browser signals such as Global Privacy Control have no sale to opt out of; we honor their intent by default.
California notice at collection
For CCPA/CPRA purposes, in the last 12 months we have collected these categories: identifiers (name, email, phone, address), commercial information (subscription and usage records), approximate geolocation derived from entered addresses, professional information (trade, work location), and electronic communications (message logs) — each for the business purposes described above, retained as described above. We have not sold or sharedpersonal information as those terms are defined by the CPRA, and we do not collect sensitive personal information except address-derived coordinates used solely to provide the service at the employer's direction. Nevada residents: we do not sell covered information as defined by Nevada law.
Children
Crewzi is a workplace tool for businesses and is not directed to anyone under 18. We do not knowingly collect information from children under 13; if we learn we have, we will delete it.
Changes
We will post updates here and change the effective date. Material changes will be notified to account holders by email.
